THE CHALLENGE
Avoid time-consuming duplicate data entry and control evaluation from SAP
Evaluation not possible directly from SAP Event Management.
Too much manual effort in the evaluation process.
Limited reports and questionnaires.
The ABLE GROUP is the leading group of companies for engineering and IT services in Germany. Accordingly, both the demands on the know-how of the 8,300 employees and the need for extensive onboarding and further training measures are high. In figures, this means around 1,100 training and further education measures per year, which are planned and carried out by the ABLEacademy.
Properly evaluating these in a KPI-oriented company was a challenge that Evalea was supposed to support with.
“We have face-to-face seminars, webinars, programs from the high-potential sector, e-learnings and coaching […] So we do a lot and want to evaluate everything. After the conversion of the seminar organization to SAP event management, we wanted to run the evaluation on it,” – HR officer for personnel development Caroline Terberger tells us.
“Our requirement was that we no longer have to do double entry. This means that all relevant data is in SAP event management and we want to be able to initiate the evaluation from this.”
Until now, the evaluation was a manual process that got the best out of the technical conditions, but was not satisfactory. “With SAP event management, we do the complete participant management. But it is not possible to evaluate the events through this.” Therefore, Ms. Terberger had to rely on a self-built IT database until she came into contact with Evalea. In practice, this meant that “the colleagues in administration created courses that had already been entered in SAP in the database a second time. Here, a survey link was generated, which could be copied into an e-mail and sent to participants. The response took place in the form of a Word document and also had to be entered in the database. Three months later, the whole thing again to evaluate the transfer.”
Before Evalea, we had a highly manual process that consisted of many individual steps.
In addition, the evaluation over several events was a challenge: “When we wanted to create reports, we used the system of the external service provider, in which the responses of the participants were stored in a database. There were various, albeit very limited, evaluation functions. In addition, we could only use one questionnaire for all measures. More was technically not possible (with the provider). If we had problems or wanted to make changes, it was usually quite complicated and not flexible enough because there was a standard.”
THE RESULT
Interface to SAP Event Management Automates Evaluation
With an interface to SAP event management, you can control the evaluation without detours.
Effort around the evaluation process reduced to three clicks.
Free time for individual reports and questionnaires.
Since then, the evaluation process around the 1,100 training courses of the ABLEacademy has been supported and completely automated by Evalea. “We no longer have to initiate the surveys manually one by one,” Ms. Terberger tells us about the biggest change in daily work.
“In close exchange and workshops, we coordinated the technical requirements with Evalea in order to set up an interface with which we can initiate the evaluation directly from SAP event management.”
The function of ‘resources’ in the SAP system was used to link further training with evaluation. “This was also associated with some customizing on our part. In practice, it now works in the same way as when a trainer is combined with further training.” This information is now summarized in a data export that is generated daily and serves as an interface between Able’s SAP and Evalea. This means that all necessary data is transmitted on a daily basis and Evalea automatically takes care of the administration around the evaluation.
With the new interface, the only to-do for our administration is to link training and evaluation, which only takes three clicks.
“We have also redefined the process paths around our measures. Thanks to helpful documents, it is clear when which questionnaire should be sent, how long the evaluation will last, when automatic reminders will take place and to whom the result reports will be automatically sent afterwards. We have now defined around 13 different process paths for different measures and have also used the freedom to develop really specific questionnaires for different formats.”
This is an enormous amount of time that is now being saved. It is also less error-prone.
“As far as reports are concerned, we can now create an up-to-date report at the touch of a button and have the option of doing this on a topic basis. In addition, we received many tailor-made reports, adapted to our requirements.”
What do you appreciate most about Evalea?
Caroline Terberger: That it is tailor-made. We got exactly what we needed. This is an enormous advantage of Evalea, to be able to react so flexibly and individually to wishes. At our former service provider, there were predetermined processes and there was little room or opportunity for individual adjustments. This is definitely different with Evalea.
What else would you like to say to others about Evalea?
Caroline Terberger: That we are accompanied by Evalea in our development. Our processes and measures are constantly evolving and there are always new requirements. Evalea follows this development and accompanies us by thinking along and pulling together constructively. Specifically, the last question: How do we best evaluate blended learning? We were happy to be advised and draw on our existing experience.
